This page explains the multi-tenant function in Acall.
What is multi-tenant settings?
If multiple affiliated companies exist in a single building, you need to link multiple companies together.
You can streamline and optimize collaboration across multiple locations on Acall.
You will find below about each function of the multi-tenant settings.
Tenant administrators can handle the multi-tenant settings screen. They can set up visits access policy, reception app settings, and meeting room settings.
ATTENTION
・The tenant administrator only can configure multi-tenant settings.
If you need to add or change a tenant administrator, please contact us using the [Contact Us] form and
provide us his/her email address to be set as the tenant administrator.
Multi-tenant settings screen
Click [Multitenant] > [Multitenant Settings] in the side menu on Acall Portal to display the multi-tenant settings screen.
Visits access policy
You can control the scope of disclosure of visitor information for appointments display to tenant companies.
Item | Description |
All | All visitor information of the reservation will be shown to everyone in the company. |
Person in Charge | Only the person in charge of the reservation can see the visitor information of the reservation. |
NOTE
・Even if you select the either one above, the reservation made by another company will not be displayed.
Acall Reception App Settings
Reception devices used for the multi-tenant reception will be listed.
Click three dots in the upper right corner and click [add device] and add a device to be used as multi-tenant reception.
Click [Edit] (pencil mark) icon to edit the reception menu (reception screen) on the reception device.
Please refer to the article [Customize Multi-tenant Receptionist Menu] to configure the reception menu.
Meeting Room Settings
- Add facility
You can create meeting rooms and equipment for sharing among tenant companies in the building.
Each tenant can reserve a meeting room and check the reservation status and availability of other tenants.
Click three dots leader in the upper right corner and then click [Add facility] to add a meeting room.
You need to set workspace in each tenant to use a meeting room.
Please refer to the article [Registering a Multi-tenant Shared Meeting Room] for instructions on how to set this up.
- List of billing charges
You can find the list of billing charges for the meeting room.
Click the three-dots in the upper right corner and click on [List of billing charges].
The list of billing charges can be downloaded as a CSV file.
- Time to cancel
You can set the time to cancel before the reservation will be automatically canceled if you use a meeting room connected to Acall Meeting.
Meeting Room Cancellation Policy Settings
You can set cancellation policy for meeting room.
The charges will be calculated based on the meeting room pricing and cancellation policy.
Tenant Management
You can set company name that will be displayed on Acall for each tenant company.
Invitation Pass Expiration Settings
You can set a time limit on the number of days for a regular meeting can be issued to a tenant company.
The tenant company administrator can create a regular pass only within the time limit, starting on the day.
Check the [Set the maximum number of days for a regular pass] and enter the number of days, and click [SAVE].
ATTENTION
・Maximum number of days for a regular pass is a required field.
・The max Days field must be 1 or more.
