Worker: General User
This page explains how to use the "Guest Check-in" screen of WorkstyleOS Portal.
What is Guest Check-in?
The following data is listed on the Guest Check-in screen.
- Workspace reservation (internal/visitor) information
- Information on invitation passes and visitors without appointments by ACALL RECEPTION
NOTE
・It will not show Spot reservations.
・It will not show the instant reservation from ACALL MEETING.
・Depending on your company settings, reservation details, and permissions, some reservations will not be displayed.
Guest Checkin Screen

Filter reservations by the date specification. |

Narrow the search by data type (internal/visitor/periodic pass). *If you select more than one, it will perform an OR search. ※If you disable invitation passes, you cannot choose invitation passes. |

You can narrow down the list of data by any keyword for the following items. |

Reload the screen to display the latest data. |
⑤ | The filtered data will be listed. |
⑥ |
You can choose to show or hide the items (columns) displayed on the list and reorder them. Reloading the screen will reset the setting. |
⑦ |
Set the maximum number of results displayed on a page. |
⑧ |
If there is more data than the maximum number of data displayed on a page, you can move to the next page. |
Guest Checkin Display Items

Internal/external: The date you created the appointment
Without an appointment: The date when the guest called from ACALL RECEPTION without an appointment

You can reorder the items with ※.
Edit appointments (internal/external)
NOTE
・Internal and external appointments only.
・General users can edit the appointments created by themselves.
Click "Edit (pencil icon)" of the appointment you want to edit.
Edit the information.
NOTE
Refer to "Creating an Appointment from WorkstyleOS Portal" for further details.
Delete appointments (internal/external)
NOTE
・Internal and external appointments only.
・General users can edit the appointments created by themselves.
・Cannot edit the past appointments.
Click "Edit (pencil icon)" of the appointment you want to edit.
Click "INFO."
Click "DELETE" and select "OK."
Send an appointment code to a guest
NOTE
・For external appointments only.
Click "Edit (pencil icon)" of the appointment you want to edit.
Click the email (envelope) icon.
Edit the subject and body, and click "SEND."
When you want to send the invitation to multiple guests, click the three dots and choose "batch transmission."
Download the appointment code
NOTE
・For external appointments only.
You can send the downloaded file of appointment code to your guest.
Click the QR code icon.
Click "Download."
Entry/Exit process of a guest
NOTE
・For external appointments only.
Click "Edit (pencil icon)" of the appointment you want to edit.
Go to the "STATUS" tab to process entry/exit of a guest and check the time of entry/exit.

① | Record entry |
Record or edit the time of entry. The icon turns green after recording. The time of entry will be displayed. The time of entry is when a worker answers the visitor notification of the guest. |
② | Record exit |
Record or edit the time of exit. The icon turns green after recording. The time of exit will be displayed. Please refer to "Use the Admission Card to Process the Exit" for the exit process with admission cards. |
NOTE
You cannot change the time of entry/exit after recording the time of exit.
When you want to process the entry of multiple guests at the same time, click the three dots and choose "batch entrance."
In the same way, you can perform "batch exiting."
Issue an admission card
You can issue an admission card to the guest who processed the entry.
NOTE
The admission card setting is required.
Please check "Printing out the Entry Pass and Entry Form"
Click the printer icon.
Select the device to pring, guests, and a template. Click "CREATE A PRINT QUEUE."
An admission card will be printed out.
Admission card rental
NOTE
・Internal and external appointments only.
・IC card function is required.
Please contact us for more information.
Click the IC card icon to register the rental.
Download and send an iCalender(ics) file
NOTE
・Internal and external appointments only.
・An administrator need to enable the function.
WorkstyleOS Portal side menu [Settings] > [Company setting] > turn on [Generate iCalendar(ics)File].
Click the calendar icon to download the iCalendar(ics) file.
NOTE
When the iCalendar(ics) option is enabled, the iCalendar(ics) files are automatically attached to the invitation emails.
