This page explains how to use [Guest book] screen on Acall Portal.
What is guest book?
By registering guest information in the Guest book, you can skip the process to enter guest information each time when you make an appointment.
You can also record notes on guests and visit history and share them internally.
Display on the Guest book screen
On the "Guest book" screen, you can register and check guest information and company information.
Display items of GUESTS tab
Item | Description |
Name | Name of the guest will be displayed. |
Company | Company name to which the guest belongs will be displayed. |
Recent Visit | Last visit of the guest will be displayed. |
Number of Visits | Number of visits of the guest will be displayed. |
Edit | Edit the guest information. |
Display items of COMPANIES tab
Item | Description |
Name | Name of the company will be displayed. |
Address | Address of the company will be displayed. |
Tel | Telephone number of the company will be displayed. |
Edit |
Edit the company information. |
NOTE
・You can reorder the items by clicking them.
Register a guest on the guest book
In the guest book screen on Acall Portal, click the three dots in the upper right corner of the screen, and then click [Create Guest].
Enter guest information and click [CREATE].
Item | Description |
Company name |
Enter the company name to which the guest belongs. |
Family and Given name | Enter the guest name. |
Phonetic family and given name | Enter the guest name in hiragana. |
Phone number | Enter the guest's phone number. |
Enter the guest's email address. |

Staff | Select the staff in charge of the guest. |
Visibility |
Select visibility setting of the guest. |
CUSTOM FIELDS |
Enter the guest's favorite drink, hobby, and birthplace. |
NOTES | Enter the remarks about the guest. |
Edit guest's information on the guest book
Open the [GUESTS] tab in the guest book screen on the Acall Portal and click the Edit (pencil icon) next to the guest information you want to edit.
After editing the guest information, click [UPDATE].
Deleting guest's information on the guest book
Open the [GUESTS] tab in the guest book screen on Acall Portal and click the Edit (pencil icon) next to the guest information you want to delete.
After editing the information, click [DELETE].
The deleted guests registered for at least one appointment will be kept on Acall as "deleted guests."
Click the three dots in the upper right corner of the screen and turn on [show deleted guests] to find the deleted guest information.
NOTE
・You can not restore the deleted guest information.
・You can not completely delete the guest information. If you do not want to keep the information,
please overwrite the guest information with some unrelated information and save it before deleting it.
Register a company on the guest book
In the "Guest book" screen of Acall Portal, click the three dots in the upper right corner of the screen, and then click [Create Company].
Enter company information and click [CREATE].
Item | Description |
Company name | Enter the company name to which the guest belongs. |
Company Address |
Enter the company address to which the guest belongs. |
Company Telephone |
Enter the company telephone number to which the guest belongs. |
note | Enter remarks about the company |
Edit company information on the guest book
Open the [COMPANIES] tab in the guest book screen on Acall Portal and click the Edit (pencil icon) next to the company information you want to edit.
After editing the information, click [UPDATE].
Delete a company on the guest book
Open the [COMPANIES] tab in the guest book screen on Acall Portal and click the Edit (pencil icon) next to the company information you want to delete.
After editing the company information, click [DELETE].
