Meeting Room Adjustment Support Function
To support more efficient use of meeting rooms, we offer a function that reviews reservations and suggests adjustments to appropriate meeting rooms.

When the number of expected participants is less than 50% of the capacity of the meeting room, the person who made the reservation will receive an email with the subject "Acall: [Meeting room check result] More suitable meeting room may be available" each weekday morning for a week before the meeting.
(e.g.) If the reserved meeting room's capacity is 8 people and the invitees are 1~3 people, this e-mail will be sent to the person who made the reservation.

The definition of the number of expected participants is the total of "Person who made the reservation" + "Guest" + "Anonymous Guest".
By receiving this email and making adjustments to more suitable meeting room, you can improve the efficiency of meeting room usage and also it can alleviate the problem of meeting room shortages.
Additional Notes
- If no adjustment is made to the appropriate meeting room, this feature will keep sending an email every morning, Monday through Friday, until the reservation date.
- Clicking on the link to the reservation edit screen on both PC and Smartphone will take you to the Acall Portal workspace reservation screen.
- Customers who have reserved a meeting room through Outlook/Google Calendar will receive an email, but the link to the reservation edit screen will not be on the email.
- Customized settings (e.g., changing the frequency of sending emails, setting meeting rooms to be checked, etc.) are not available for this function.
