You can reserve the most suitable workspace through chat suggestions with an AI on Acall Portal.
This page explains how to reserve a workspace via chat.
💡 Note
The AI Booking Assistant function described on this page is available only to customers who are currently subscribed to AI Meeting Room.
Create a reservation
Open chat screen
Open the chat modal by either of the following steps.
- Click [+ Add New] > [Chat] at the top of the Acall Portal.
- From the Acall Portal side menu, click [Reservations] > [Workspace] to open the workspace list, then click [RESERVE BY CHAT] in the upper right corner.
The chat modal appears on the right side of the Acall Portal.
AI chat workspace suggestion
Enter the participants, purpose, location, date, and time of the meeting in the text box. AI chat will suggest a list of available workspaces that match your criteria.
💡Note
AI suggests potential workspaces based on the following criteria.
・Date/Time of the meeting
・Participants of the meeting
・"Capacity" of workspace
・"Location" of workspace
・"Description" of workspace
You can enter additional information as needed to narrow down the potential workspaces.
If a worker has the same name as the meeting participant specified as a condition, you can specify the worker from their department.
If all members of a department (group) participate in a meeting, you can assign them all at a time.
For example, if you specify the condition "Participants are all members of the Engineering.", all workers in the group "Engineering" will be assigned to the meeting.
Create a reservation from the suggested workspaces
If a suitable workspace is found, request AI to create a reservation.
Click the "OPEN THE RESERVATION MODAL" button in the AI's response to open reservation creation modal with the proposed criteria entered.
If you want to look for other workspace, you can also get suggestions again by clicking on the "ANY OTHER IDEAS?" button.
The displayed reservation creation modal reflects the suggestions made by the AI.
💡 Note
The following items are not reflected in the reservation screen and must be registered manually.
- Private setting
- Repeat setting
- Guest information
- Agenda
Review the information and click "CREATE" at the bottom of the screen.
Additional Notes
- Conversations with the AI are not saved. When you close the chat screen, all previous messages are cleared.
- The maximum number of messages can be sent in the same chat screen is 20. When the limit is reached, the chat screen can be used again by closing it and opening a new one.
