This page introduces the help pages for general users to use the "Reception Check-in" function, one of the Acall features.
💡This page is for the following users.
- Customers using the calendar linking function and have selected "Reserve on Outlook / Google Calendar" as the reservation method.
If you are using the calendar integration feature and have selected "Reserve on Acall Portal" as your reservation method, please check this article.

Create appointments
Create appointments on Calendar
If Acall is linked to Outlook / Google Calendar, you can create appointments on your calendar and link them to Acall.
Calendar linking must be set up in advance by administrator.

Appointment created on the calendar is automatically reflected in Acall.
💡 Note
It usually takes a few seconds to a few minutes to be reflected, but it may take longer.
If it does not reflect after a while, please refer to "Appointments created on calendar are not reflected in Acall.
Check / edit your appointments
Check / edit your appointments on Calendar
You can check or edit your appointments on Outlook / Google Calendar.
Appointment created on the calendar is automatically reflected in Acall.
💡 Note
It usually takes a few seconds to a few minutes to be reflected, but it may take longer.
If it does not reflect after a while, please refer to "Appointments created on calendar are not reflected in Acall.
Check your appointments on Acall Portal
You can check your appointments on Acall Portal. You can not edit your appointment on Acall portal, please edit on Calendar.
You can check or edit your appointments on My Page or Guest Check-in Screen on Acall Portal.

You can check not only your appointments but also workspaces availability.

Check your appointments on Acall Mobile
You can check your appointments on your smartphone by using Acall Mobile application.
You can not edit your appointment on Acall Mobile, please edit on Calendar.
Send invitation e-mail to guests
Send invitation e-mail to guests from Calendar
You can send e-mail with appointment code from Calendar to the guests that allow them to check-in at the reception device and enter the building.

Respond to visitor notification
Respond to visitor notification via e-mail
When a guest does check-in on reception device, the person in charge will be notified via e-mail.
💡Note
Please check with your administrator to select the response to the guest, as this must be set up in advance.
Respond to visitor notification via SNS
You can receive and respond to visitor notification via chat service such as Slack, Microsoft Teams.

Other functions
Email template
Depending on the guest and message, you can use different email templates with appointment codes and send to guests.

Guest book
By registering guest information in the guest book, you can save the time and effort of entering guest information each time you create an appointment.
In addition, notes about guests and visit history can be recorded and shared within your company.
Invitation Pass
Appointment codes issued upon creating an appointment cannot be used after the appointment has finished.
Invitation pass is available as an appointment code that can be used continuously for a certain period of time across days.
💡Note
Please check with your administrator to select the response to the guest, as this must be set up in advance.
Reception Check-in
You can issue admission card when guest checks in.
If guest enters with an admission card, exit procedure will be needed when guest exit.
If exit menu is set up on the reception device, guest can exit on the reception device.
If exit menu is not set up, you need to do exit procedure exit on Acall Portal.
⚠️ If you have not done exit procedure, Acall will send an alert email to the person in charge one hour after the end of the appointment.
