This page describes the flow and operation of "reserving a workspace" and "using the Acall Meeting application" in the Meeting Room Check-in" function, one of Acall's basic functions.
NOTE
Acall Meeting contract is required to use workspace, but use of the Acall Meeting application is not required.
Terms
Workspace
In Acall Portal and Acall applications, "workspace" refers to the meeting rooms and equipment that are reserved and used for internal meetings and external meetings (appointments).
Internal Meeting
Schedules for registered worker participants only are called "internal meeting".
External Meeting (Appointment)
Schedule which external guests who are not registered as a worker is invited is called "external meeting (appointment)".
For appointments, an "invitation e-mail" is sent to guests to inform them of the meeting information via e-mail, allowing for smooth invitations to guests.
Workspace reservation flow
Reserve a workspace
There are three methods to reserve a workspace.
- Reserve a workspace on Acall Portal
- Reserve a workspace on Acall Mobile
- Reserve a workspace from the external calendar linked to Acall
This section describes the actual reservation operation steps, using "Creating an internal meeting" and "Reserve a workspace on Acall Portal" as examples.
💡 Note
The actual reservation method available vary from company to company, so please contact your company's administrator for details.
From the side menu of Acall Portal, click "Reservation" > "Workspace."
A list of available meeting rooms and equipment are displayed.
Drag a cell to select the time and meeting room to reserve.
Click "create meeting."
The [New Create] screen opens.
Enter information and click "CREATE."
The registered appointments will be displayed as "Internal."
NOTE
・When you select "Create Appointment," the appointment creation screen will open.
the registered appointment will be registered as "Visitors."
Use Acall Meeting
NOTE
・Only workspaces linked to Acall Meeting are applicable.
・For details on linking Acall Meeting, please refer to "Install Acall Meeting."
Start using a workspace
Your appointment will be displayed on Acall Meeting.
Swipe [ ENTER ] to the right to enter the room and start a meeting.
💡 Note
Meetings can only start 15 minutes prior to the scheduled start time
Exit from workspace
Swipe [EXIT] at the bottom of the screen to the left to leave the room and end the meeting.

In addition, Acall's meeting room check-in function can be used in conjunction with other services and work styles, such as reservations made from a smartphone and linking with Outlook/Google Calendar.
